To enhance readability, we refrain from gender-specific language. The corresponding terms apply to all genders for the sake of equality. Definitions of terms used, such as 'personal data' or 'processing,' can be found in Art. 4 of the GDPR.
Personal data processed within this website include:
Basic data (e.g., names and addresses of customers),
Usage data (e.g., visited pages on our website), and
Content data (e.g., entries into online forms).
B. Specific
Privacy Notice
We ensure that your data is processed only in connection with handling your inquiries, for internal purposes, or to provide services or content requested by you.

Foundations of Data Processing
We process your personal data only in accordance with applicable data protection regulations. The legal bases are:
Providing our contractual services
Processing is a legal requirement
Presence of your electronic consent (e.g., subscription to the newsletter)
Enforcing our legitimate interests
We would be happy to explain where the legal bases mentioned above are regulated:
Processing to fulfill our services and execute contractual measures
Art. 6 (1)(b) GDPR
Processing to comply with legal obligations
Art. 6 (1)(c) GDPR
Consent
Art. 6 (1)(a) and Art. 7 GDPR
Processing to safeguard our legitimate interests
Art. 6 (1)(f) GDPR

Data Transfer to Third Parties
We would like to inform you that data transfer to third parties takes place.
Your data will only be shared with third parties within the framework of legal provisions. Data is shared only when it is, for example, necessary for contractual purposes or based on legitimate interests in the efficient operation of our business.
If we use subcontractors to provide our services, we take appropriate legal precautions and implement corresponding technical and organizational measures to ensure the protection of personal data in accordance with relevant legal regulations.

Data Transfer to a Third Country or International Organization
A third country refers to countries where the GDPR does not apply directly. This generally includes all countries outside the EU or the European Economic Area.
Data transfer to a third country or an international organization occurs.
Since we use Google products (Analytics, Maps, Recaptcha, Ads Conversion-Tracking), videos from YouTube/Vimeo, Freshchat, and Facebook Pixel on our website, data transfer to a third country (the USA in this case) or an international organization occurs, provided you have given us your consent in accordance with Art. 49 (1)(a) GDPR. According to current legal circumstances, the USA is considered a country with an inadequate level of data protection. There is a risk that your data may be processed by US authorities for control and surveillance purposes. Currently, there are no legal remedies to counter this practice.
To exercise your right to withdraw consent, disable these services in the "Cookie Consent Tool" provided on the website or within the privacy settings.

Storage Duration of Your Personal Data
We adhere to the principles of data minimization and data avoidance. This means we only store your data as long as required to fulfill the aforementioned purposes or as prescribed by various storage periods imposed by legislators. Once the respective purpose ceases to exist or the corresponding periods expire, your data will be routinely locked or deleted in accordance with legal provisions.
We have developed an internal company concept to ensure this approach.

Contact
When you contact us through the website, you agree to electronic communication. Personal data will be processed in the course of electronic communication with us. The information you provide is stored exclusively for handling your inquiry and for possible follow-up questions.
We are happy to share the legal basis for this with you:
Processing to fulfill our services and execute contractual measures
Art. 6 (1)(b) GDPR
We would like to point out that emails can be read or altered without authorization and unnoticed during transmission. Additionally, we use software to filter unwanted emails (spam filters). Spam filters may incorrectly identify emails as spam based on certain characteristics, resulting in rejection.

What Are Your Rights?

Polytan GmbH will then no longer process your personal data unless it can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing serves the establishment, exercise or defence of legal claims.
Where personal data are processed for direct marketing purposes, you have the right to object at any time to processing of personal data concerning you for such marketing, which includes profiling to the extent that it is related to such direct marketing. In the event of such an objection, we will no longer process your personal data for the purposes of direct advertising. All you need to do is send us an email to this effect.
h) Right of cancellation
You have the option to revoke your consent to the processing of your data at any time with effect for the future without giving reasons. You will not suffer any disadvantages as a result of the cancellation. All you need to do is send us an e-mail to this effect.

Use of Google Ads conversion tracking
This website uses the online advertising programme "Google Ads" and, as part of Google Ads, the conversion tracking of Google Ireland Limited, Gordon House, 4 Barrow St, Dublin, D04 E5W5, Ireland ("Google"). We use Google Ads to draw attention to our attractive offers with the help of advertising material (so-called Google Adwords) on external websites. We can determine how successful the individual advertising measures are in relation to the advertising campaign data. Our aim is to show you adverts that are of interest to you, to make our website more interesting for you and to achieve a fair calculation of the advertising costs incurred.
The conversion tracking cookie is set when a user clicks on an Ads advert placed by Google. Cookies are small text files that are stored on your end device. These cookies generally lose their validity after 30 days and are not used for personal identification. If the user visits certain pages of this website and the cookie has not yet expired, Google and we can recognise that the user has clicked on the ad and has been redirected to this page. Each Google Ads customer receives a different cookie. Cookies can therefore not be tracked via the websites of Google Ads customers. The information collected using the conversion cookie is used to generate conversion statistics for Google Ads customers who have opted for conversion tracking. Customers are told the total number of users who clicked on their advert and were redirected to a page with a conversion tracking tag. However, they do not receive any information that can be used to personally identify users.
Details on the processing triggered by Google Ads Conversion Tracking and how Google handles data from websites can be found here: https://policies.google.com/technologies/partner-sites

Because we use Google Ads Conversion on our website, data is transferred to a third country (in this case the USA) or an international organisation if you have given us your consent to do so in accordance with Art. 49 (1) (a) GDPR. According to the current legal situation, the USA is considered a country with an inadequate level of data protection. There is a risk that your data may be processed by US authorities for monitoring and surveillance purposes. There are currently no legal remedies against this practice.
You can find more information about Google's privacy policy at the following Internet address: https://www.google.de/policies/privacy/

Facebook Pixel for the creation of Custom Audiences
Within our online offer, the so-called "Facebook pixel" of the social network Facebook is used, which is operated by Facebook Ireland Limited, 4 Grand Canal Quare, Dublin 2, Ireland ("Facebook").
If a user clicks on an advert placed by us that is displayed on Facebook, an addition is added to the URL of our linked page by Facebook Pixel. If our site allows data to be shared with Facebook via pixels, this URL parameter is written to the user's browser via a cookie, which our linked site sets itself. This cookie is then read by Facebook Pixel and enables the data to be forwarded to Facebook.
The data processing associated with the use of Facebook Pixel is only carried out with your express consent in accordance with Art. 6 para. 1 lit. a GDPR.
The fact that we use Facebook pixels on our website means that data is transferred to a third country (in this case the USA) or an international organisation if you have given us your consent in accordance with Art. 49 para. 1 lit. a) GDPR. According to the current legal situation, the USA is considered a country with an inadequate level of data protection. There is a risk that your data may be processed by US authorities for monitoring and surveillance purposes. There are currently no legal remedies against this practice.
You can revoke your consent to data processing and data transmission at any time with effect for the future. To exercise your revocation, deactivate this service in the "cookie consent tool" provided on the website or in the settings in the data protection information.
With the help of the Facebook pixel, Facebook is able to determine the visitors to our online offering as a target group for the display of adverts (so-called "Facebook ads"). Accordingly, we use the Facebook pixel to display the Facebook ads placed by us only to those Facebook users who have also shown an interest in our online offering or who have certain characteristics (e.g. interests in certain topics or products determined on the basis of the websites visited), which we transmit to Facebook (so-called "custom audiences"). With the help of the Facebook pixel, we also want to ensure that our Facebook ads correspond to the potential interest of users and are not annoying. This also allows us to analyse the effectiveness of Facebook ads for statistical and market research purposes by tracking whether users were redirected to our website after clicking on a Facebook ad (known as "conversion").
The data collected is anonymous to us, so it does not allow us to draw any conclusions about the identity of users. However, the data is stored and processed by Facebook so that a connection to the respective user profile is possible and Facebook can use the data for its own advertising purposes in accordance with the Facebook Data Usage Policy (https://www.facebook.com/about/privacy/). The data can enable Facebook and its partners to place adverts on and off Facebook.
Use of videos from YouTube
We use the YouTube implementation function to display and play videos from the provider "YouTube", which belongs to Google Ireland Limited, Gordon House, 4 Barrow St, Dublin, D04 E5W5, Ireland ("Google").
Insofar as legally required, we have obtained your consent to the processing of your data as described above in accordance with Art. 6 para. 1 lit. a GDPR.
Data is transferred to a third country (in this case the USA) or an international organisation if you have given us your consent to do so in accordance with Art. 49 (1) (a) GDPR. According to the current legal situation, the USA is considered a country with an inadequate level of data protection. There is a risk that your data may be processed by US authorities for monitoring and surveillance purposes. There are currently no legal remedies against this practice.
You can revoke your consent at any time with effect for the future. To exercise your revocation, deactivate this service in the "cookie consent tool" provided on the website or in the settings in the data protection information.
According to information from "YouTube", these are used, among other things, to collect video statistics, improve user-friendliness and prevent abusive behaviour. If you are logged in to Google, your data will be assigned directly to your account when you click on a video. If you do not wish to be associated with your YouTube profile, you must log out before activating the button.
Google stores your data (even for users who are not logged in) as usage profiles and analyses them. You have the right to object to the creation of these user profiles, whereby you must contact YouTube to exercise this right. Regardless of whether the embedded videos are played, a connection to the Google network is established each time this website is accessed, which may trigger further data processing operations without our influence. Further information on data protection at "YouTube" can be found in the provider's privacy policy at: https://www.google.de/intl/en/policies/privacy

Newsletter dispatch via Hubspot
Our newsletter is sent via the technical service provider Hubspot (EU) or Hubspot Germany GmbH, Am Postbahnhof 17, 10243 Berlin, Germany ("Hubspot") and its sub-processors Hubspot Inc. (25 First Street, 2nd Floor, Cambridge, MA 02141, USA) and Hubspot Ireland ltd. (One Dockland Central, Dublin 1, Ireland, to whom we forward your data provided when registering for the newsletter. This disclosure is made in accordance with Art. 6 para. 1 lit. f) GDPR and serves our legitimate interest in using a promotional, secure and user-friendly newsletter system. The data you enter (e.g. email address) is stored on Hubspot's servers in Germany or Ireland.
Hubspot uses this information to send and statistically evaluate newsletters on our behalf. The emails sent contain so-called web beacons or tracking pixels, which are one-pixel image files stored on our website. This allows us to determine whether a newsletter message has been opened and which links have been clicked if any.
With the help of the so-called conversion tracking, it can also be analysed whether a previously defined action (e.g. purchasing a product) has taken place after clicking on the link in the newsletter. In addition, technical information is recorded (e.g. time of retrieval, IP address, browser type and operating system). The data is collected exclusively in pseudonymised form and is not linked to your other personal data. Personal reference is excluded. This data is used exclusively for the statistical analysis of newsletter campaigns. The results of these analyses can be used to better tailor future newsletters to the interests of the recipient.
If you would like to object to data analysis for statistical evaluation purposes, you must unsubscribe from the newsletter.
We have concluded an order processing contract with Hubspot, in which we oblige Hubspot to protect our customers' data and not to pass it on to third parties.
You can find more information about the data protection provisions of Hubspot at the following Internet address: https://legal.hubspot.com/en/privacy-policy
